The Events Coordinator at AIIM is an integral part of our organization's efforts to foster community and enhance learning in the field of information management. In this role, you will plan and execute a variety of events, from small-scale webinars to large industry conferences, while ensuring all logistical details are expertly managed.

Key Duties and Responsibilities:
  • Event Planning and Execution: Plan, design, and produce events while managing all project delivery elements within time limits. This includes conducting market research, gathering information, negotiating contracts, and ensuring cost-effectiveness.

  • Venue Management: Identify suitable venues for various events and negotiate contracts with venue owners or managers. This includes considering factors like location, capacity, facilities, availability, and pricing.

  • Logistics: Coordinate and manage all event logistics, including arranging equipment, transportation, and accommodation for attendees and speakers. This includes developing contingency plans to handle potential challenges or disruptions.

  • Vendor Management: Source and negotiate with vendors and suppliers, while maintaining strong relationships with them.

  • Budget Management: Develop and manage budgets for each event, ensuring the best quality while maintaining cost-effectiveness.

  • Communication: Liaise with team members, stakeholders, speakers, and attendees, ensuring clear and timely communication before, during, and after events.

  • Evaluation: Conduct post-event evaluations and report on outcomes. Use the feedback and data to continuously improve future events.

Qualifications:

Education: Bachelor's degree in Event Management, Hospitality, Marketing, Business, or a related field.

Experience: Minimum of 3 years' experience in event planning and management. Experience in an educational or non-profit setting is preferred.

Skills: Strong organizational skills, attention to detail, and ability to handle multiple tasks and deadlines. Excellent interpersonal and communication skills. Proficiency in using event management software and tools.

Personal Attributes: High level of creativity, adaptability, and problem-solving ability. Ability to work effectively both independently and as part of a team.
