We are now looking for a Proposal and Business Support Specialist to support the Associate Vice President (AVP) with business development and account management efforts for respective market sector. A key requirement is to directly engage as part of the bid management team to support technical staff throughout the bid/proposal effort to produce the highest quality deliverables, enhance the efficiency of the sales effort, and improve the proposal win rate.

Key Accountabilities
  • Collaborate with management, subject matter experts, and other staff to review bid and RFP requirements, assisting with careful review of all questions and content to ensure responses are thorough, consistent, accurate, and compliant.

  • Gather multiple source documents to support synthesizing and producing proposal deliverables that meet all client requirements on content, formatting, and deadlines.

  • Assist with writing/re-writing proposal sections as necessary to deliver high-quality, winning proposal products.

  • Review final documents for grammatical accuracy and consistent formatting to ensure a professional product that encompasses NRC’s brand imaging.

  • Coordinate the creation of bid capture plans and engage with members of the NRC regional team to establish strategies for pursuing new opportunities.

  • Support Bid Managers with bid documents, including preparation of relevant organization chart, resumes, flow diagrams and presentation materials.

  • Create and/or maintain databases supporting RFP/proposal efforts and consistent North American information for EOIs and proposals, such as company information, CVs, project database and photographic library.

  • Through a regular review of content, maintain accurate information in NRC’s Salesforce CRM application including account owners, account information and contacts.

  • Work w/ NRC’s Marketing and Communications Manager and potentially other Proposal and Business Support Specialists to help develop and maintain all regional marketing materials; regional website content, leaflets, posters etc., ensuring alignment with NRC’s Corporate requirements.

  • Organize exhibitions and events and attend exhibitions on the stand when required.

  • Assist AVP with the development and update of key client account plans, documents, and reports including data analysis and reporting on proposal losses, identify trends and provide reports to the team to assist with bid strategy.

  • Provide administrative support as necessary, including drafting correspondence, conducting research, and general assistance to the AVP with any market sector business development and account management efforts.

Experience, skills, knowledge and competencies

Essential
  • 3-5 years of experience in business support role within the professional services industry, e.g., consulting, engineering, communications, etc.

  • Demonstrated ability to high proficiency with MS Office Suite.

  • Exceptional communication skills, including strong professional writing abilities.

  • Ability to identify problems or inefficiencies and independently offer/implement practical solutions.

  • Executive presence and strong presentation skills.

  • Advanced organizational skills, deadline-driven, and detail oriented.

  • Self-motivated and flexible with the tenacity to get the job done.

  • Agile, adaptable team player with advanced interpersonal skills and can thrive in a fast-paced work environment.

  • Ability to work independently, multitask and coordinate activities across a range of functional areas.

  • Highly responsive and motivated.

  • Must be available to work at a corporate office with flexibility for local travel to support proposal needs.

Desirable
  • Bachelor’s degree in Business Management, Communications, Marketing or related field.

  • Basic/general project management experience (certification not required).

  • Some experience with data analysis and report writing in sales, consulting or procurement.

  • Knowledge of CRM systems such as Salesforce.

  • Basic knowledge of government contracting concepts, including Federal Acquisition Regulations.

  • Client-facing, direct consulting, and/or agency experience.

  • Brand development or basic marketing experience.
